Document requirements vary by route

An importer should never assume one global checklist is legally sufficient. Depending on the commodity, route and contract, participants may need a commercial invoice, packing list, transport document, certificate of origin, phytosanitary certificate and specified test reports. The buyer, exporter and customs advisers must confirm the exact required set under current rules for the destination.

Phytosanitary certification has a defined purpose

The International Plant Protection Convention provides standard ISPM 12 guidance on phytosanitary certificates for export and re-export. Such documents are issued under official national plant-protection arrangements; a sourcing website cannot issue or guarantee them. Requirements can depend on commodity status, country of origin, treatment and destination-specific protocols.

Connect documents to the actual transaction

Match the legal names on the purchase contract, invoice, exporter documents and bank instructions. Check that lot identifiers, net quantity, loading location and consignee details do not conflict. Agree when original documents will be released, whether copies are acceptable and how discrepancies are resolved. For high-value cargo, formal documentary payment structures may deserve specialist review.

Treat sanctions and payment as a separate gate

Food and agricultural trade may be subject to exceptions or authorisations in certain sanctions regimes, but that does not make every person, bank, carrier or service permissible. Screen the buyer, seller, intermediaries, banks and logistical providers under all relevant jurisdictions. We do not assist sanctions evasion, hidden beneficiaries or misleading trade documentation.
