Start with a clear acceptance specification

Quality assurance cannot repair a vague purchasing contract. Define which parameters matter, what test methods apply and which inspection point establishes acceptance. Technical staff, purchasing managers and the exporter should agree on the same document. A supplier’s marketing claim should never be used as evidence of the actual cargo composition.

Check documents against the physical lot

Compare commercial invoices, packing information, lot identifiers, inspection results, phytosanitary documents where required and shipment records. Check that documents refer to the offered goods and relevant dates, rather than an unrelated batch. Buyers may request independent inspection, but the provider, scope and allocation of costs must be agreed contractually.

Use samples carefully

A courier sample is useful for initial processing trials; it is not automatically representative of a 100-tonne purchase. Record the sampling method, the batch sampled and whether material may change between initial testing and loading. Consider a mutually accepted sampling plan and dispute resolution process for significant shipments.

Verify the counterparty as well as the crop

Check legal registration, permitted business activity, contact domains, bank beneficiary name, relevant export authorisations and actual shipping capacity before sending a deposit. Confirm that the supplier is allowed to supply the stated origin and commodity on the requested route. Counterparty screening and acceptable payment channels are essential even for food-sector transactions.

Frequently asked questions

Technical and commercial answers below are general sourcing guidance. Actual contracts and current destination rules prevail.

Do you certify supplier quality?

No. The platform may screen documents but does not issue independent certificates or guarantee an exporter’s lot.

Can inspection be arranged?

Ask whether the exporter will permit mutually agreed third-party inspection and at whose cost.

How do I verify the exporter?

Compare legal records, contractual identity, banking details, export capacity and specific cargo evidence.
